Quidditch Australia’s Annual General Meeting 2019

Quidditch Australia welcomes all delegates to attend the 2019 Annual General Meeting! The AGM is an excellent opportunity to be involved in the future planning of the association, hear annual reports and provide feedback to the board on the past year and for the year to come. 

The AGM will be held in the Level 5 Lecture Theatre of the Brain and Mind Centre, at 94-100 Mallet Street, Camperdown (2050), near the University of Sydney and RPA Hospital, from 3:00 PM until approximately 6 PM.

Elections of Quidditch Australia Board Members

Three positions are open on the Quidditch Australia Board to commence a two year term until the AGM in December 2021. Applications are now open and will close on Wednesday, 6th November. 

As outlined in the constitution, 

Nominations must be: 

(a) in writing; 

(b) on the prescribed form (if any) provided for that purpose; 

(c) signed by an authorised representative from two (2) States and/or Clubs; 

(d) certified by the nominee (who must be an Individual Member) expressing their willingness to accept the position for which they are nominated; and 

(e) delivered to the Association not less than thirty (30) days before the date fixed for the Annual General Meeting.

Quidditch Australia will accept nominations via email addressed to Cameron Caccamo, Quidditch Australia secretary. Nominations must be in the form of a letter outlining the above points of c and d. 

The following document lists the Board Portfolios and Job Descriptions proposed for the 2020 Board.

Quorum 

No business shall be transacted at any General Meeting unless a quorum is present at the time when the meeting proceeds to business. A quorum for General Meetings shall be sixty percent (60%) of States and Clubs represented by their Delegates.

Nominating a Proxy

As outlined in the constitution, 

(a) Proxy voting shall be permitted at all General Meetings provided a proxy form in the form approved by the Board from time to time, has been duly completed and executed and is lodged with the Executive Director at or before the commencement of the meeting. Proxies shall only be exercised by Members entitled to vote. No Member entitled to vote shall exercise more than one (1) proxy vote at any one (1) time.

To nominate a proxy, please complete a proxy form (to be supplied to teams closer to the time) and send to Cameron Caccamo, Quidditch Australia secretary ([email protected]), by no later than Thursday 5pm on the 5th of December 2019. 

Submitting a Motion or Constitutional Change 

Submissions of motions or constitutional changes will be accepted by Wednesday, 6th November. Motions must be detailed in writing and for constitutional changes inclusive of the current and proposed wording. 

Financial reports, Board of Director nominations and motions or constitutional changes shall be shared with delegates no later than 21 days prior to the AGM.
